Some of the information I hold may be classed as special category data under UK GDPR.

Where explicit consent is the appropriate condition, I will ask for it clearly and specifically.
You may withdraw consent for optional processing, such as recording or transcription, at any time.
Withdrawal of consent does not necessarily require deletion of clinical records that I am otherwise legally or professionally entitled or required to retain.
6. Questionnaires and Initial Consultation Information
Before an Initial Consultation, you may be asked to complete a questionnaire.
This may include information about symptoms, health history, life experience, patterns, concerns and what you are seeking support with.
The information you provide is treated confidentially and stored securely as part of your client record.
7. Session Notes and Clinical Records
I keep session notes to support continuity, clarity, safety and professional accountability.
These may include:
- date of session
- main themes or priorities discussed
- relevant symptoms or changes
- homeopathic observations or remedy information
- Bowen Therapy notes
- Visual Somatic Therapy notes
- agreed next steps
- referral, safeguarding or risk information where relevant
Clinical records are stored securely and accessed only where necessary for legitimate practice purposes.
8. Online Sessions, Recording and Transcription
Sessions may take place online using Zoom.
Recording or transcription is not automatic.
If recording or transcription is proposed, it will only take place with your explicit consent.
You are free to decline.
Where Zoom recording or transcription is used:
- it is used only for the agreed purpose
- it will not be used for marketing, teaching or other purposes without separate consent
- it is kept only for as long as necessary
- temporary recordings or transcripts used to support note keeping are deleted once the relevant clinical notes have been completed and securely stored
9. How Your Information Is Stored
I take reasonable steps to protect your personal information.
Digital records may be protected using measures such as:
- password protection
- device security
- secure backup
- encryption where appropriate
Paper records are stored securely with access restricted to me.
I do not sell your personal information.
I do not share it unnecessarily.
10. Who I May Share Information With
I treat your information confidentially.
There may be limited circumstances where information needs to be shared, including:
- where you have given clear consent
- with your GP or another healthcare professional where appropriate and agreed
- within professional supervision, using anonymised information wherever possible
- with my insurer, professional body, legal adviser or accountant where necessary
- where required by law
- where there is a serious safeguarding, risk or public-safety concern
Where possible and appropriate, I would discuss this with you before sharing information.
11. Third-Party Services
To run my practice and website, I may use third-party services including:
- Zoom
- email services
- website hosting
- booking or contact forms
- payment providers
- accounting services
- secure digital storage or backup services
These providers may process limited personal information in order to provide their services.
I aim to use providers with appropriate privacy and security measures.
12. How Long I Keep Your Information
I keep personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet professional, insurance, tax, legal and safeguarding responsibilities.
Client records are currently retained for 7 years from the date of the last appointment, unless a different period is required for legal, insurance or professional reasons.
Temporary Zoom recordings or transcripts used for note keeping are not retained as the main clinical record and are deleted once the relevant notes have been completed and securely stored.
When information is no longer required, it is securely deleted or destroyed.
13. Your Rights
Under UK data protection law, you may have rights including the right to:
- be informed about how your information is used
- access personal information held about you
- ask for inaccurate information to be corrected
- request deletion in certain circumstances
- request restriction of processing in certain circumstances
- object to certain uses of your information
- withdraw consent where processing is based on consent

15. Medical and Emergency Care
My work is complementary and does not replace medical diagnosis, emergency care, prescribed medication, counselling, psychotherapy, psychiatric care or other specialist support where these are needed.
You remain responsible for seeking appropriate medical or emergency support.
